Job Title: Optician/Ophthalmic Technician (Cross-Trained / Bilingual Spanish)

Reports To: Practice Manager

Role Overview:

The Optician/Ophthalmic Technician (Cross-Trained / Bilingual Spanish) is a versatile and integral part of our practice, responsible for both opticianry and ophthalmic/optometric technician duties, with the added ability to communicate effectively in both English and Spanish. This role ensures that patients receive comprehensive care from the moment they enter our office through their eyewear selection and follow-up care. It requires a balance of technical expertise, patient interaction, and administrative duties, while also providing support to our Spanish-speaking patients, ensuring they have access to the same high-quality care and communication.

Primary Responsibilities:

Opticianry (55% of Time)

  • Frame and Lens Selection:
  • Take measurements and accurately assess the best frame/lens options for patients based on their prescription and features.
  • Display comprehensive knowledge of frames, lenses, contact lenses, and product lines, conveying expertise to patients in both English and Spanish.
  • Educate and engage patients on advances in eyewear and lenses, guiding their selections based on lifestyle, wants, and needs.
  • Convert knowledge and patient engagement into sales, including promoting multiple sales and premium lenses.
  • Eyewear Adjustments and Orders:
  • Adjust glasses, make repairs, and troubleshoot eyeglass fit issues.
  • Order glasses and contact lenses, follow up on order status daily, keep the manager updated on job status, and notify patients as appropriate with detailed notations.
  • Dispense glasses and contacts, ensuring quality control.
  • Patient and Office Management:
  • Maintain an accurate and up-to-date prescription status for glasses and contact lens orders.
  • Engage in the pleasant and appealing merchandising of frames.
  • Participate in patient care activities, including scheduling appointments, conducting recalls, and ensuring a smooth patient experience from entry to exit, particularly for Spanish-speaking patients.

Ophthalmic/Optometric Technician (45% of Time)

  • Diagnostic Testing:
  • Conduct ophthalmic and optometric testing, including auto-refraction, retinal photography, visual fields, topography, OCT, and other diagnostic procedures.
  • Maintain and calibrate testing equipment; report any issues to the manager promptly.
  • Record testing results in patient files, ensuring accurate and comprehensive documentation in Examwriter.
  • Communicate test results and relevant information to the doctor before the patient’s exam.
  • Contact Lens Management:
  • Order all specialty contact lenses and follow up on the order status.
  • Check in contact lens orders, perform quality checks, and manage inventory maintenance of contact lens trials.
  • Provide patient training on contact lens insertion, removal, and care.
  • Patient Flow and Care:
  • Manage patient flow and experience within the practice, ensuring smooth transitions between appointments and services.
  • Maintain patient records, assist with recording case histories and treatment plans, and manage patient communications in both English and Spanish.
  • Ensure all necessary materials for next-day appointments are available, such as contact lens trials and insurance documents.

Insurance/Billing (15% of Time)

  • Insurance Verification and Claims:
  • Verify insurance benefits of patients before pre-testing and frame/lens selections.
  • Accurately price all products and services, including applying insurance and discounts.
  • Submit claims accurately and on time, maintaining up-to-date claims management.

General Office Duties (15% of Time)

  • Office Management:
  • Open and close the office according to established procedures.
  • Maintain a clean, organized, and professional office environment, including the dispensary, exam rooms, and contact lens area.
  • Engage in daily huddles and work collaboratively with teammates to achieve patient care and office goals.
  • Complete monthly task schedules and other duties as assigned.
  • Compliance:
  • Ensure compliance with HIPAA and other regulatory requirements.

Qualifications:

  • Proven experience in both opticianry and ophthalmic/optometric technician roles.
  • Fluency in both English and Spanish, with strong communication skills in both languages.
  • Strong knowledge of eyewear, lenses, and diagnostic equipment.
  • Excellent patient care and communication skills, particularly in engaging with Spanish-speaking patients.
  • Ability to multitask and manage both patient care and administrative duties efficiently.
  • Proficient in the use of Office Mate or similar practice management software.
